SCBWI (SA) WEEK-LONG SPRING EVENT:

to be held in Cape Town, 21 to 27 October 2011

Deadline to get your registration forms in has been extended to

25 August Extended deadline for registration, applications for reviews / First Look / First Pages and first payment.
28 August: Draft schedule of the reviews (24-27 October) sent out / all applicant will receive info about the success of their applications for reviews. (Submission requirments will be spelt out again)
31 August: Information to First Pages / First Look applicants. This will be done individually so the successful candidates can remain anonymous and will have only the information that relates to them. (Submission requirments will be emailed again)
7 September: Deadline for any outstanding payments
15 September Deadline for all submissions required: reviews and First Pages/ First Look

The event will have three separate components, each with a separate attendance fee:

1. A one-day children’s book conference
2. A luncheon with specialist speakers
3. Four days of review sessions for individual writers and illustrators

Note: The event will be open to anyone with an interest in children’s books, e.g. writers, illustrators, parents, teachers, booksellers, librarians, publishers and policy-makers.

1. FRIDAY 21 OCTOBER - ONE-DAY CHILDREN’S BOOK CONFERENCE

The primary focus of the conference will be on the opportunities and challenges facing children’s book writers and illustrators in these days of rapid change and development in the new democratic South Africa, specifically in the area of educational publications.
A secondary focus will be on possible opportunities opening up in international markets (maybe including the rapidly expanding markets in the East?) for South African children’s Publishers, book writers and illustrators – both in English and in translation.

Submissions for First Pages and First Look Panels:
Illustrators and writer/illustrators are invited to submit three illustrations from a project or a book to be looked at and commented on by a panel of Editors and established illustrators before an audience of picture book creators and illustrators. Illustrators will remain anonymous.
Writers are invited to submit their best first page of a manuscript to be read and commented on by our panel of Publishers & Editors. Authors will remain anonymous.

Note: only the panel will give comment. It will be the first time they see the work and will be their first reaction to the work and they will comment whether in their opinion, the work could work for children.
• Submissions (artwork and manuscript) will be reviewed for inclusion. Successful applicants will be notified by end of September.
• The First Pages and First Look panels open to everyone who attends the conference –
• NOTE - applications are free to SCBWI members and dealt with on a first come, first served basis. However Non-members have to pay R150
• As panel time is limited, there is no guarantee that all applications will be discussed.
• All manuscripts must be properly formatted. First Look jpgs must conform to the guidelines. Email to scbwi.za@gmail.com for guidelines. After you have received the guidelines, e-mail your First Pages and First Look illustration submissions to scbwi.za@gmail.com - please send your submission by August 15th. Late submission will not be included. and (NB!) put First pages/look - Spring Event in your e-mail’s subject line.
• If accepted, payments by Non-SCBWI members must be done within a week or their submission will not be included.
• The work will be shown anonymously, but you must submit your contact details by email as a list of shown work and contacts will be given to agent and the publishers in case they may wish to contact you.

3. MONDAY 24 TO THURSDAY 27 OCTOBER – REVIEW SESSIONS

Four days of review sessions in which the literary agent (Erszi Deak), children’s book editors and established writers and illustrators will provide twenty-five-minute one-on-one critiques of the work of local writers & illustrators. (SCBWI Members will be given preference)

Note: SCBWI Members who do not have a review session will have the opportunity to display their work in an exhibition space.
Manuscript critiques and portfolio reviews present children’s book writers and illustrators a wonderful opportunity to receive one-on-one feedback from a publishing professional.

How to book: Apply before or by 15 August (send an email to scbwi.za@gmail.com with application for a review in the subject line). Since we have a limited space is available, kindly apply as soon as possible Reviews will be allocated on a strict first-come-first-served basis. However, SCBWI members will be given preference.
Successful applicants will be informed by 30 August. Deadline for submissions is 15th September 2011.

Payment details: Do not send payment for the review sessions until you have a definite booking.

MANUSCRIPT/ PORTFOLIO REVIEW SESSIONS
Cost per review:
Review by Int. Literary Agent, Erszi Deak SCBWI members - R200; Non members - R300
Review by SA publisher SCBWI members - R100; Non members - R150
Review by established author or illustrator SCBWI members - R50; Non members - R100

Schedule: Reviews of manuscripts and portfolios will be scheduled to take account of reviewer availability and you’re requested times... The schedule will be sent out two to three weeks before the Spring Event.
All manuscripts must be properly formatted and portfolio must conform to the guidelines.

Submission criteria for writers:
Covering letter: All submissions should have a one-page covering letter which includes
• a short bio (not more than 150 words). If you have been published, list your last two publications
• all your contact details
• the story title and approximate word count of the full manuscript (where applicable), target age range

All material must be your own work.

Writers: All submissions must be sent in advance so that the reviewer has the time to read and review your work. During your 25 minute review, you will be given a written critique of the work you submitted and you will have time to ask questions.

Examples of submissions:
• a picture book manuscript text (only) – no illustrations to be sent unless you are the illustrator. Do not include other graphics (photographs, charts) unless they are intrinsic to the project (for example a photographic picture book about water lilies)
• For longer fiction - a one-page (maximum) synopsis and the first ten pages of your manuscript whether a chapter book, reader or novel (double-spaced and 12 pt font - Times New Roman).
• Other writing - four page sample of writing (four poems, four pages of nonfiction with the concept idea, etc.)

Format:
Submissions must be in word document (.doc) and received by 15 September 2011.
Covering letter and synopsis can be single-spaced, but manuscripts should be typed, double spaced in an easy to read font such as Times New Roman (12 point) with borders of at least 2cm.

On the first page please include the following information: Your name, story title, and approximate word count of the full manuscript. Please number all subsequent pages and display your name and the story title in the header at the top right hand of the page.

Illustrators and Writers/Illustrators:
Bring a portfolio of not more than 15 illustrations or/and illustrated dummies or projects with sample illustrations (only those intended for children’s books). Reviews will be 25-minute meetings at the Venue TBC. Each illustrator will be given an oral critique of the work presented.

Submission criteria for illustrators:
E-mail, before 25 August, ONE low resolution sample of your work (max – 150KB) and a covering letter
The one page covering letter must include:
• a short bio (not more than 150 words). If you have been published, list your last two publications
• all your contact details
